Questions to Ask Before Choosing a Corporate Event Venue

One of the most important decisions you’ll make when planning a corporate event is choosing the right venue.


The perfect venue provides a professional, inviting atmosphere with amenities that make planning easier on you and your budget. 


How do you know which venue is right for your company’s event? Ask the right questions! We’ve compiled a list of questions we get the most from our clients to help you choose the right place for your event.


Is there a Cancellation Policy?

Find out a venue’s policy for canceling. How much notice do they need to get your deposit back? Is a non-refundable deposit 100% non-refundable, or will they negotiate with you based on dates?


Does the Venue Provide Support Staff?

On-site staff can make an event go much smoother, so check with each venue to see if this is something they offer. It's also important to note, if you choose to hire your own staff, ask if there’s a fee.


Is Catering Included?

Just like staff, on-site catering can make your life a lot easier. Some questions to ask about venue catering:


  • What services do they provide (buffet, courses, or full-service)?

  • What is the cost? Is there a minimum? 

  • Will there be a charge if you choose to bring in your own catering company?

  • Do they have a list of exclusive suppliers or recommendations for catering near the venue?


Is There Parking or Transportation for Guests?

Your guests will be traveling to your chosen venue whether by car or taxi or maybe it's a destination event guests will be flying to. So you may need to see how far the venue is from the airport and available hotels. Also check with the venue management to ensure they provide valet parking or have a public parking lot with ample space.


What's the Capacity?

Depending on the number of people you expect to attend, will the venue be able to accommodate them? Do they have different spaces or floor plans to choose from?


What Equipment & Extra Amenities Does the Venue Offer?

You’ll want to browse all the extra amenities available at each venue you shop. Depending on what your event will require, consider asking about:


  • Audio & Visual Systems for presentations and/or music

  • Tables & Chairs

  • If you plan on having alcohol at the event, do they have a functioning bar with the proper licensing?
